I am impressed with the capabilities the combination of assistants and unattended robots provide within the robocorp stack
We are working with a big accountancy firm which customers are big companies with over 100 employees each.
At the end of everymonth they produce the payslips for every employee, their software generates a ZIP file with the hundred pdf payslips in them. The user in the accountancy firm needs to:
- Unzip the file
- Produce an excel report with the ID, name and email of every employee
- Merge that information with excel macros and temporary files
- Merge the files and produce a macro to send the proper file to the right email address
Sometimes the companies also asked them to encrypt the pdf file with the employee-id to ensure confidentiality of the information.
We built to different components:
An assistant:
- It asks for the zip file to be processed
- It also allows the user to select if the files need to be encrypted
- After analysing the zip file and making sure it has the proper files, it asks for the excel file
- The last step asks for the subject and text in the email. Everything is calculated for the user for him/her to make any mistakes
After all the information has been provided, an unattended bot in the robocorp cloud is called. This bot will:
- Extract every file from the ZIP
- Encrypt each one if required
- Match the right employee information
- Send an email with the attached PDF file with the right subject and text
Step 1
The results in the cloud are incredible:
The first day an aviation group of companies was managed:
- 6 companies
- Combination of 6 ZIP files and 6 EXCEL spreadsheets
- More than 1.200 emails were produced
- The smallest company had 35 employees, the biggest 400
- The number of consumed minutes in robocorp were below 10 minutes
Many more companies to be processed.
We were able to capture the happiness when we finished the process.
